Molina updates payment processing system to simplify refund reconciliation

What You Need to Know: Effective April 30,  Molina updated its refund processing to reference the patient control number instead of internal claim or check history IDs. This change improves alignment with provider accounting systems and simplifies refund reconciliation.

Effective April 30, 2025, Molina Healthcare of California (MHC) updated its payment processing system so that refunds on the Provider Explanation of Payment (EOP) and the 835 electronic remittance files now reference the patient control number, replacing the previously used internal claim ID (ClaimID) and Check History ID (CHKHSTID). This enhancement applies to all lines of business and is part of Molina’s effort to improve operational transparency and provider experience.

Benefits of this enhancement include:

  • Aligns reference identifiers with your internal accounting systems
  • Simplifies reconciliation and posting of refunds to patient accounts
  • Reduces administrative confusion and manual research associated with internal claim IDs

Due to character limitations in the PDF version of the EOP, patient control numbers exceeding 14 characters may result in the associated Check History ID (CHKHSTID) appearing truncated. However, this does not impact the integrity of the 835 remittance file, which will continue to display all data in full. The complete patient control number will remain visible on both the EOP and 835 formats.
