REPORTS TO: Senior Director, CMS Services



POSITION SUMMARY: The CMS Services Team is responsible for invoicing and payment processing for membership dues on behalf of the CMA and various Component Medical Societies (CMSs), database support and administration, and other database projects as needed. The Project Director is expected to lead and perform these duties, plus more complex duties such as million-dollar invoice reconciliations, member campaigns, database projects, and process improvement efforts. As a senior member on the team, the Project Director should exhibit leadership qualities and leadership potential, including leading team projects; providing guidance, feedback, and training; and superb interpersonal and soft skills to interface with external and internal stakeholders. The Project Director will also be assigned as an account executive for a few key relationships where these leadership and communication skills will be critical. Strong Excel skills are required. Some experience with data analytics or reporting would be desirable. Experience with membership dues and Association Management Software (AMS) or other CRM/ database is required.


  • Majority of time is spent working in Association Management Software, specifically Euclid’s ClearVantage database

  • Responsible for all phases of membership dues processing for CMA and CMSs, such as invoice setup, payment processing, A/R, A/P, reconciliations, etc.

  • Group invoice procedures, reconciliations, payments.

  • Verify accuracy of all facets of dues processing from entry to A/P and reporting

  • Assigned to a few key clients and responsible for their membership dues processing, invoice set up, payment processing; database support, reconciliations, group invoices; data validation, data integrity; support with membership campaigns; must provide extremely high level of service, detail, accuracy, and maintain a close working relationship

  • Ability to build and maintain relationships, trust, and rapport with medical societies; and leadership qualities to lead team projects

  • Create and run various membership and statistical standard reports

  • Perform other related work and projects as assigned, such as database integration, retention campaign support, database modules such as email blasts/ newsletters/ campaigns, and more

  • Other duties as assigned


  • Bachelor’s degree or equivalent experience

  • 3+ years relevant experience in Membership Dues, Database Administration, Accounting, or related field

  • Strong user of Microsoft Excel

  • Must be extremely detail oriented, with keen analytical skills

  • Superb interpersonal skills and written and oral communication skills, with the ability to explain complex issues, the ability to lead projects, and build relationships with various stakeholders

  • Ability to manage multiple assignments and effectively prioritize workload

  • AMS experience (specifically, Euclid ClearVantage AMS) or other CRM/ database experience is required


  • Works under guidance of Senior Director, CMS Services


  • Position requires operation of normal office equipment, computer, printers, photocopier, fax machines, multi-line phone, mobile communications tools


  • Normal office environment requirements with minimal travel
