Executive Coordinator, PHC

TITLE: Executive Coordinator

DIVISION: Physicians for a Healthy California

REPORTS TO: Senior Executive Coordinator




The Executive Coordinator reports directly to the Senior Executive Coordinator. The Executive Coordinator provides administrative support to the Senior Director of Operations (SDO), as well as supports other operational needs for the organization. This position serves as the primary point of contact for internal and external constituencies on all matters pertaining to the SDO.


  • Provide administrative support to the SDO

  • Manages the PHC email inbox and voicemail

  • Serves as the administrative liaison to the SDO and Board of Directors

  • Coordinates and organizes projects such as Experience of Work (EOW) surveys and PowerPoints, staff training and development, staff retreats, etc.

  • Maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off site to support agenda

  • Attends monthly coordinator meeting to help streamline and optimize operational procedures

  • Compiles documents for meetings

  • Completes expense reports and invoices

  • Composes and prepares misc. correspondences

  • Supports new employee onboarding initiatives

  • Arranges travel plans, itineraries, and agendas

  • Other duties as assigned


  • High school diploma and at least five years of experience in administrative functions
  • Strong organizational and planning skills
  • Excellent interpersonal and customer service skill
  • Excellent oral and written communication skills
  • Proficient in MS Office
  • Ability to travel occasionally
