TITLE: Continuing Medical Education (CME) Coordinator

REPORTS TO: CME Director

LOCATION: Sacramento

EXEMPTION STATUS: Full time, non-exempt

POSITION SUMMARY: Responsible for general administrative support for the CME program.

DUTIES/RESPONSIBILITIES:

  • Creates and/or maintains datasets
  • Submits expenses requests for surveyors
  • Tracks invoices, fees, and payments
  • Coordinates registration for educational activities (conferences, workshops and webinars) including preparing badges, sign-in documents, certificates
  • Gathers data and prepares reports using ClearVantage, Access, Excel and/or MSWord
  • Assists in creating PowerPoint presentations
  • Ships committee and surveyor materials in a timely manner
  • Tracks accreditation status of CME programs and provides appropriate notifications
  • Reviews CME Provider documents for completeness, formats and payments, when due
  • Provides general administrative support: answers phones, makes copies, scans documents, schedules and sets up conferences, meetings and webinars
  • Updates content, forms and attachments for website
  • Creates and reports results of surveys and polls using print and/or electronic formats
  • Assists with other duties as assigned

CONTACTS: Daily contact with stakeholders: staff, surveyors, consultants, committee members and provider organizations.

KNOWLEDGE/EXPERIENCE/EDUCATION:

  • Bachelors Degree required
  • Two years experience performing similar duties and responsibilities
  • Excellent oral and written communication skills
  • Exemplary customer service approach in communicating with internal and external stakeholders
  • Skilled problem solver, with ability to quickly adapt to changing priorities and heavy workloads
  • Resourceful, with strong organizational abilities to handle multiple tasks, priorities, directions
  • Designs efficient work processes to accomplish tasks
  • Deploys sound judgment to keep supervisors and team members aware of events with impact on key operations
  • Superior computer skills with competency in MS Office Suite, web-based applications, and constituent relationship management applications
  • Detail-oriented approach to work projects
  • Effectively participates as part of a team

SUPERVISION: Reports to the CME Director

EQUIPMENT OPERATION: Proficiency in Microsoft Word, Outlook, Excel

TRAVEL: Occasional in-state travel to meetings and conferences

PHYSICAL REQUIREMENTS: Some travel and after hours work required to attend meetings and other functions. Ability to lift at least 25 pounds
